What is included in the registration fee?

Your registration fee includes entry to the conference, use of our networking app Coaltrans Live, access to speaker presentations, and food and drink throughout the conference (networking breaks, lunches, evening drinks receptions).

What is not included in the registration fee?

Your accommodation and transportation are not included in the price of the conference (although we often provide accommodation discount codes). You’ll receive hotel booking instructions after you have registered for the conference.

Field trips are not always included in the price of the conference. A booking form will be sent after you have registered for the conference where applicable. Field trips are based on a first come, first served pre-paid basis. We’ll always let you know about any field trips, but you’ll need to be proactive to make sure you don’t miss out on the chance to join!

Delegate registration confirmation and invoice

Delegates will receive confirmation and the invoice of their registration 3-4 working days after their registration form has been received.

Receipts

If payment is made by credit card then you will automatically receive a receipt of payment. Unfortunately if you arrange payment via bank transfer we are unable to provide a receipt. However, on request we can provide you with an invoice reflecting zero outstanding balance.

The registration confirmation and invoice is not a receipt of payment; delegates will need to arrange payment for the invoice.

Registration payment by credit card

To make a payment by credit card, please book and pay online or call +44 (0)20 7779 7222. Please ensure you quote your invoice number when arranging payment by phone in order for the money to be allocated against the correct invoice. Your invoice number will begin with ECK and can be found at the top right hand corner of your invoice.

Registration payment by bank transfer

To make a payment via bank transfer, use the Euromoney Global Ltd. account details below.

Invitation letter 

Coaltrans Conferences is not responsible for guaranteeing delegate visa applications. We can provide delegates with visa support letters if we have received full registration payment. Please contact us at events@coaltrans.com to request a visa invitation letter.

In all cases we recommend you seek advice from your embassy.

Replacing a delegate

We understand that sometimes other commitments get in the way of attending our events. So if you are registered for an event but can’t make it anymore, you can substitute a colleague to attend in your place at no extra cost. Please contact events@coaltrans.com to arrange your substitute.

Cancelling a delegate

If you need to cancel your registration and can’t send a substitute, please let us know at events@coaltrans.com. Cancellations received in writing 28 days before the conference will be refunded in full (less the administration fee). Unfortunately we can’t give refunds to any cancellations received after the 28 day cut off period.

Conference hotel fully booked

If the conference hotel is fully booked then a list with alternative hotels will be sent to you.

Badge details

The details that will be printed on your badge will be shown on your confirmation. Please check these details carefully (we don't want you to end up with the wrong badge!) and if you require any amendments please let us know at events@coaltrans.com.    

Coaltrans Live

Contact fellow delegates with our networking app, Coaltrans Live. A guide to the app will be sent via email once you have registered for the conference.

Delegate List

The delegate list is available to paid delegates on Coaltrans Live four weeks prior to the event..

Conference papers

You will receive an email after the conference letting you know when the conference papers are available and where to find them.
Please note, speakers have the right to withhold information from their presentations after the conference.

Dress Code

Most of our delegates wear business attire but whatever you feel comfortable networking and listening to our speakers in!
